How do I enter a business name as an IN record in JIS?  How about a defendant with only one name?

Adding a Business Name:

  1. From the PER/PERA screen, press <F9> to open the PEN screen.
  2. Enter "Y" in the Business Indicator field.
  3. Enter the Business name in the Last/Business field.
NOTE: Do not add punctuation, such as a comma or a period.

Examples:

 Business Name

Correct JIS Entry for IN Record

 Smith Brothers Pipe Co.

Smith Brothers Pipe Co

 Mole Control, Inc.

Mole Control Inc

 Quilters Money

Quilters Money Bank

NOTE:  Bank names associated to bank records for accounting purposes, such as the court’s checking and investment accounts, must be BK records, not IN records.  Adding a banking institution as a restitution recipient on the Restitution Update Screen (RST) will create the IN record.

When entering a business name that includes a number into JIS, and that business is entered as a person (IN) record, it is acceptable to include the number as part of the name.  The rule relating to the comma (,) still applies.

Examples:

Strongest 5 Welding

Strongest 5 Welding Co

Milepost 36 Eatery, Inc.

Milepost 36 Eatery Inc

Error codes relating to numbers in the name field occur when the system comes across any number in the NAME field.  Person records have been found that include phone numbers, or other number identifiers in the NAME field.  These numbers are not acceptable data for the NAME field.

Adding a defendant with only one name:

  1. From the PER/PERA screen, press <F9> to open the PEN screen.
  2. Enter "N" in the Business Indicator field.
  3. Add the individuals name in the Last/Business field.
  4. Add "single name only" to the first name field.

Examples:

 First Name: single name only

 EagleWoman

 Last/Business Name: Eaglewoman

 First Name: single name only

There are recommended data entry practices for entering names into JIS that address these questions. See the Case/Person Processing > Person Processing > Name Data Entry Guidelines topic of the Online Manual, and specifically the sub-topic entitled: Data Entry Practices for Names.

The above topic and sub-topic review both the Person Business Rules and the recommended format for entering one name for a person or business in JIS.
